Education Consultant CRM Platform and Real Estate CRM: HexaFluence Case Study
Pakistan, 2023
The challenge
Two kinds of project that needed a CRM
HexaFluence (Private) Limited, a company in Pakistan, was running real estate and other client projects. Digital Hub delivered two CRMs with HexaFluence: an education consultant CRM platform and a real estate CRM. HexaFluence's projects needed a CRM, and so did HexaFluence itself for its own work. Digital Hub had already done the same kind of build and had the portfolio to show, so it sent in a proposal. HexaFluence accepted it.
How the work was done by hand
For the education consultant CRM platform, the starting point was a set of separate jobs held by separate staff. One group handled leads. Another handled follow-ups. Others searched aggregated university data to match each student by profile and education history. Every step depended on someone remembering to do it.
Our approach
A partnership with a joint team
HexaFluence brought Digital Hub's founder into its team as project manager. From there Digital Hub worked as a partner. The CRMs were developed under the founder's direction by a joint team, with some of Digital Hub's people and some of HexaFluence's. Each CRM was built with HexaFluence and took 4 months.
Two CRMs, two backends
The two CRMs used different backends, and each had its own queue for background email syncing, webhooks and task work. Both used React with TypeScript and Tailwind CSS on the frontend. The education consultant CRM ran on Node.js with NestJS and BullMQ. The real estate CRM ran on Python with Django and Celery.
The solution
The education consultant CRM platform
The custom CRM for the education consultant covers:
- Leads
- Applications, and application status
- Prospects matched to each student profile automatically, with relevant degrees, universities and the rest
- Tracking from application through to final approval
- The reporting, tracking and update views an administrator needs
The real estate CRM
The real estate CRM covers:
- Leads and follow-ups
- Inventory of societies and commercial buildings
- Direct purchase records
- Installment management
- One click to send a client their full details
- Progress and updates
Integrations and a support chatbot
The platforms connect to HubSpot, Zendesk and Zapier. A support chatbot ran on the OpenAI API and the DeepSeek API, the kind of work covered by AI agent systems.
Branding and a website for Prime Residencia
Digital Hub also delivered the branding and the website for HexaFluence's real estate project, Prime Residencia.
What changed
Before the education consultant CRM, separate staff handled leads and follow-ups, and searched aggregated university data to match students by profile and education history. Now that searching and matching happens automatically. Applications are tracked in one place from submission through to final approval, and follow-ups stop slipping.
On the real estate CRM, the team stopped keeping leads in separate places. Every lead sits in one system instead of being split between spreadsheets, WhatsApp and paper, so a follow-up is no longer missed because the record was somewhere else. Reporting comes from that one place rather than being assembled by hand, which makes it easier to see where the team is strong and where it is weak, what demand looks like by area and by a buyer's budget, and why a client who enquired later left. Updating a record and editing it happen in the same system.
